Cancellation Policy
Hybrid and In-Person Courses
Purpose
This policy explains how cancellations, transfers, and refunds work for UP Edu hybrid courses.
Who this policy applies to
This policy applies to participants who enrol in any UP Edu hybrid course, meaning a course that includes an in-studio intensive plus online portal access.
This policy does not apply to fully online courses. Fully online courses have a separate cancellation policy.
Key definitions
- Course fee: The total amount payable for the course.
- Payment plan: 2 payments of 50% of the course fee over 2 months (if offered for your intake).
-
Commencement: The earlier of:
- The date online portal access is provided, or
- The first day of the in-studio intensive.
- Business days: Monday to Friday, excluding public holidays in Victoria.
Payments (deposit vs paid in full)
Depending on the intake and timing of your enrolment, you may be required to either:
- Pay the full course fee on enrolment, or
- Pay a 50% deposit to secure your place, with the balance payable in one month.
If you do not pay by the required due date(s), your place may be released.
Participant cancellations (refund schedule)
All cancellation requests must be submitted in writing (email is fine) and are effective from the date received.
-
More than 30 days before commencement
- Refund: Any amounts paid will be refunded, minus the deposit (if applicable) and a $100 administration fee.
-
15 to 30 days before commencement
- Refund: 50% of the course fee.
-
14 days or less before commencement
- Refund: No refund.
-
After commencement
- Refund: No refund.
Online portal access
Online portal access is provided immediately on payment.
Because access is provided before the in-studio intensive, cancellations are assessed against the refund schedule above.
UP Edu may change how and when online content is released across future intakes (for example, releasing some content after the in-studio intensive). Any such changes will be communicated at the time of enrolment.
Transfers to another intake (instead of cancelling)
If you cannot attend your booked intake, you may request a transfer to a future intake.
- More than 14 days before commencement: One transfer permitted at no cost.
- 14 days or less before commencement: Transfer may be offered at our discretion and may incur a $100 transfer fee.
- Transfers are subject to availability and must be used within 12 months of the original commencement date.
Substitutions
If you are unable to attend, you may nominate a substitute participant (for example, a colleague) provided:
- The substitute meets course eligibility requirements, and
- We receive written notice at least 5 business days before commencement.
Exceptional circumstances
We understand unexpected events happen. If you need to cancel due to exceptional circumstances (for example, serious illness or bereavement), please contact us as soon as possible.
- We may request supporting documentation.
- We may offer a partial refund, transfer, or credit at our discretion.
Course changes or cancellation by UP Edu
If UP Edu cancels a course intake, you may choose:
- A full refund, or
- A transfer to another intake.
If UP Edu needs to make reasonable changes (for example, venue, timetable, instructors, or delivery format), we will communicate changes as early as possible.
How to request a cancellation or transfer
Email your request to: [email protected]
Please include:
- Your full name
- Course name and intake date
- The reason for cancellation or transfer request
- Preferred outcome (refund or transfer)
Refund processing
Approved refunds are processed to the original payment method within 10 business days.
